WeinHaus Inventar-App

WeinHaus needed more from their inventory management than Shopify offers by default. Instead of forcing them into a generic standard tool, we built a dedicated app that fits their operation exactly.

WeinHaus runs a webshop and hosts wine events. For them, inventory is not a side concern but the heart of the business. Which bottle is where, which is reserved for which customer, which was opened at which tasting, what an event cost in wine. Shopify covers only the essentials. Inventory data is stored only briefly, stock removals can only be booked against pre-defined reasons, and reservations have to be handled through workarounds, without the comfort a B2B business actually needs. Anyone wanting more quickly lands at specialised third-party apps that can do everything, but reshape the operation, ship with fifty features no one needs, and add up to real money in ongoing subscription costs, especially if you only use a fraction of what they offer. So the question wasn't «which tool do we pick?» but «what do they actually need, and can we build exactly that?»

Approach

We built a dedicated Shopify app that extends WeinHaus's inventory module exactly where they needed more. Data kept for as long as WeinHaus needs it, custom removal reasons such as tastings or in-house consumption, tags and notes for finer traceability, reservations for the B2B side with optional reminders, and reports that show not just unit counts but also the costs behind them. What did this event cost us in wine, a question the standard tool could not answer. Since the app was being built by us anyway, a second extension was a natural step. An AI agent that can manage inventory in parallel to the manual workflow. Warehouse staff or team members at an event speak to it, correct stock levels, query reservations, without having to log into the system every time. This only works because the foundation is our own app, not a third-party system.

Impact

WeinHaus now has exactly the tool they need, no more, no less. Upfront, a dedicated solution is a larger investment than a third-party subscription. Long-term, however, the costs are noticeably lower, because no recurring subscription fees apply and the feature set fits WeinHaus's reality precisely. With AI-assisted development, it is now possible to build lean and economical software that used to be available only as standard, off-the-shelf solutions. Tailor-made software becomes a sensible option again, even for smaller businesses. That is exactly where we want to be.
